How We Built an AI Operating System for Walkie Walkie

How DNA built a human in the loop AI operating system for Walkie Walkie, a live Australian ecommerce brand, with the founder approving every exception.

Most advice on AI for business falls into two extremes. On one side are generic prompts and chat widgets that sound impressive in demos but cannot touch a database. On the other side are venture-backed software subscriptions that cost hundreds of dollars a month, each solving a single narrow slice of work while demanding a human sit in the middle to copy-paste between them.

When we founded Daily Needs Association (DNA), we took a completely different approach: we build custom AI operating systems that businesses own outright.

Before offering this build to clients, we battle-tested every single operating loop on our own live Australian footwear brand, Walkie Walkie.

This is the exact technical architecture breakdown of how we moved the repeatable daily operational load onto a system, handed hours of manual checking back to the founder every week, and kept human judgment firmly in control.

AI Operating System Architecture A custom AI operating system connects live storefront APIs, ad platforms, and inventory directly into autonomous Slack digests.

The Baseline: What Running the Brand Took Before Automation

Running a retail brand solo or with a lean team is an operational tax. Every morning by 8:00 AM, the same routine demands your attention:

  1. Logging into Shopify to review overnight orders, fulfillment flags, and returns.
  2. Opening Meta Ads Manager to check whether spend stayed within daily caps and if blended ROAS cleared the break-even line.
  3. Reading customer support inquiries in Gmail or Gorgias, looking up tracking numbers, and drafting replies.
  4. Manually updating spreadsheets to track inventory thresholds and reorder dates.

None of these tasks require creative genius. But together, they consume 15 to 20 hours every week. More dangerously, they turn the founder into an operational bottleneck: if you step away or get sick, the morning checks simply stop happening.

The 4 Production AI Operating Loops

Rather than stacking five separate monthly apps, we engineered four core autonomous loops running on scheduled serverless workers and LLM APIs.

Stripe API ──┤ │ │
Inventory DB ──┘ └── [ Exception Logic & Margin Guard ] └── Human Approval Button

Loop 1: The 6:00 AM Executive Morning Pulse

Every morning at 6:00 AM Melbourne time, a scheduled worker triggers an automated telemetry pull across Shopify, Meta Ads, and Stripe.

  • Data Ingestion: It calculates net revenue, gross margin, yesterday’s total ad spend, and blended ROAS against our predetermined break-even threshold.
  • Synthesis: Instead of dumping an overwhelming table of numbers into a dashboard nobody opens, an LLM evaluates the deltas against the 7-day rolling average.
  • Output: A concise 5-bullet summary posted directly into a private Slack channel. By the time we wake up, we know our exact financial position in 30 seconds without opening a single browser tab.

Loop 2: The Autonomous Margin and Ad Fatigue Guard

Meta Ads accounts leak money silently when creative fatigues or tracking breaks.

Our second loop queries the Meta Graph API twice daily:

  • If rolling 3-day ROAS dips below our target break-even number (which we calculate using our Break-Even ROAS Calculator), the system flags the specific ad set in Slack.
  • If frequency rises while click-through rate drops over a 5-day window, it automatically tags the creative as fatigued and queues a replacement recommendation.
  • It tests destination URL status codes to ensure ads never drive paid traffic into a 404 error after catalog updates.

Loop 3: Exception-Only Inventory and Supplier Tracking

Traditional inventory tools alert you when an item hits an arbitrary low stock number. In real life, that is too late if supplier lead times are six weeks.

Our inventory loop watches velocity trends:

  • It computes run-rate based on trailing 14-day sales velocity and cross-references manufacturing lead time. See our mathematical breakdown on how to calculate reorder point and safety stock.
  • It alerts the founder only when an item’s runway drops below the reorder trigger window.
  • It drafts the exact supplier purchase order email, including SKU counts and unit costs, awaiting one-click approval.

Loop 4: Human-in-the-Loop Support Triage

Customer support is where most AI implementations fail, usually because companies deploy reckless, hallucinating public chatbots that promise discounts or misunderstand return policies.

We engineered a Human-in-the-Loop Triage System:

  • When a customer emails asking about sizing, tracking, or delivery timing, the webhook routes the message to our triage engine.
  • The model queries the Shopify Order API, pulls the actual tracking status from Australia Post, and drafts a complete, polite response in our brand voice.
  • The draft is sent to our internal Slack interface with two buttons: Approve & Send or Edit Draft.
  • A human verifies the response with one tap. The customer receives a prompt answer in under five minutes, and the operator spends 10 seconds instead of five minutes per ticket.

Why the “Sell-It, Not Run-It” Model Matters

The digital agency industry is fundamentally broken. Traditional agencies charge clients $5,000 to $10,000 every single month to manually execute repetitive tasks behind opaque black boxes. When you cancel the retainer, your operations collapse because you never owned the infrastructure.

At Daily Needs Association, we reject retainers.

We believe an AI agency should act like an engineering team: we design the architecture, code the system, connect your APIs, and hand you the keys.

  1. You Own the Codebase Outright: The automated workers and pipelines live inside your own infrastructure.
  2. Zero Software Retainers to DNA: You do not pay us monthly SaaS fees to access your own data.
  3. Transparent Fixed Pricing: A single transparent build fee ($5,000) followed by optional, flat-rate operational maintenance ($500/month) if you want ongoing upgrades and new loop engineering.

What Does Your Business Look Like When It Is AI-Ready?

Making your business AI-ready does not mean chasing generative AI novelties. It means building reliable data loops that remove friction between your tools, your team, and your customers.

Whether you run an e-commerce operation, a professional service agency, or a B2B firm, the pattern is the same: find the predictable, repetitive friction and hand it to a system that never sleeps.
